1. General provisions regarding membership of the Hindsgavl Castle Rewards Club

1.1 Membership of the Hindsgavl Castle Rewards Club is governed by these terms and conditions, and it is the member’s responsibility to read and understand these terms and conditions, including any changes thereto.

1.2 The minimum age for membership of The Hindsgavl Castle Rewards Club is 18 years. Membership of the Hindsgavl Castle Rewards Club is a contractual agreement between Hindsgavl Castle and you personally (hereinafter referred to as “the member”). Membership cannot be issued to companies or other legal entities. Membership is personal and only one person can be registered per membership. Only one member per checked-in room can earn and redeem points.

1.3 The member commits to ensuring that no unauthorised persons gain access to the member’s information, and it is the member’s responsibility to keep their information up to date.

1.4 The Hindsgavl Castle Rewards Club is valid until otherwise notified, and Hindsgavl Castle reserves the right to terminate the Hindsgavl Castle Rewards Club with six months’ notice to the member.

1.5 Hindsgavl Castle reserves the right to change the terms and conditions of the Hindsgavl Castle Rewards Club by notifying the member, either via Hindsgavl Castle’s website or by e-mail/phone.

1.6 Hindsgavl Castle reserves the right, at its own discretion, to terminate a membership of the Hindsgavl Castle Rewards Club, and such termination may result in the loss of points if the membership terms are breached. Such breach may, for example, consist of gross or disrespectful behaviour towards Hindsgavl Castle or its employees, criminal acts or acts that are generally perceived as immoral or unethical, or which constitute a breach of these terms and conditions. In addition, Hindsgavl Castle reserves the right to terminate membership in the event of all forms of cheating, e.g. if a member creates multiple profiles to earn points for themselves. The member can cancel their membership at any time by sending us an email at Hindsgavl@hindsgavl.dk.

 

2. Earning points
– How to earn points

2.1 In order to earn points, the member must state that they are a member and provide relevant membership information when making a reservation.

2.2 Points can be earned from the date on which the member is admitted to the Hindsgavl Castle Rewards Club.

2.3 It is the member’s own responsibility to notify the Hindsgavl Castle Rewards Club when booking, arriving, or departing. After departure, earned points are generally registered on the next working day, but in some cases, it may take up to 3 days.

2.4 When booking online, the member must log in to the Hindsgavl Castle Rewards Club with a mobile phone number and a one-time code.

2.5 No exchange rate is calculated on points earned. 1 point is equal to DKK 1.

 

What you can earn points on

2.6 The member earns 5% in points based on all purchases made by the member in connection with accommodation at Hindsgavl Castle.

2.7 When settling with points, points are only earned on the invoiced amount. This means that points are earned on all cash and credit card purchases.

2.8 To earn points, all purchases must be linked to the room reservation. For example, restaurant purchases must be registered on the room bill.

2.9 Earned points can be deducted from the total bill upon departure.

2.10 It is possible to earn points for all reservations under the member’s name, as long as these are settled collectively by the member.

2.11 Points are only earned for stays booked directly with Hindsgavl Castle via our online booking, by email or telephone.

 

What you cannot earn points on

2.12 It is not possible to earn points on private parties, even if an overnight stay is included. This also applies to a la carte bookings. Private parties are defined as birthdays, weddings, etc. where the party organiser personally settles the event.

2.13 Points cannot be earned on parties organised and/or paid for by companies, e.g. Christmas parties.

2.14 Points can only be earned from one Hindsgavl Castle membership per order.

2.15 Hindsgavl Castle points earned by a member cannot be sold, transferred, or otherwise exchanged for cash.

2.16 Members can access their account information online at: https://hindsgavl.loyallfriends.dk/

2.17 Points are not earned from meetings and conference stays. However, the individual participant can earn points for personal consumption in connection with the meeting and conference stay and other company events. Personal consumption must be registered at the member’s own expense in order to earn points.

2.18 Points are not earned on stays purchased through third parties. If your booking is made via Hotels.com, Expedia, Sembo, DTF, Risskov Rejser or similar, you will not receive points for this. Nor can points be used in connection with stays booked through third-party channels.

2.19 Points cannot be earned by using gift vouchers that are not issued by Hindsgavl Castle. These are gift vouchers such as Smartbox, Gavekortet.dk, experience gifts, etc. Points cannot be earned for gift vouchers that have been won in a competition or similar, even if they have been issued by Hindsgavl Castle.

 

Missing points and point validity

2.20 If a member believes that they have not received points for overnight stays, the member must contact the reception at hindsgavl@hindsgavl.dk with information about the order number and date of stay, as well as information about the member.

2.21 Accrued points are valid for the current calendar year and 36 months from the date of accrual. Points always expire on 1st March. When you use your earned points, we always deduct the points that have been earned first. It is the member’s responsibility to keep updated on when points expire. At least once a year, the Hindsgavl Castle Rewards Club will send an email with information about when points expire to members who have points that expire in the current year.

 

3. Use of points

3.1 Points in the Hindsgavl Castle Rewards Club can be used for full or partial payment of services that include accommodation at Hindsgavl Castle, e.g., accommodation with dinner or accommodation and drinks in the bar.

3.2 Points cannot be used for payment without accommodation. E.g., lunch or dinner in our restaurants without accommodation or purchase of products at the reception.

3.3 Points cannot be used as payment for no-show/cancellations and non-refundable stays. It will always be stated in the description of a stay if it is non-refundable.

3.4 Points earned on stays cannot be used as payment for the same stay.

3.5 Points can be used to pay for the organisation of private parties.

3.6 Hindsgavl Castle may at its own discretion and at any time change the points structure.

 

4. Use of personal data

4.1 The member accepts and consents to Hindsgavl Castle’s registration and processing of personal data relating to the member’s participation in Hindsgavl Castle’s Advantage Club in accordance with applicable law and these terms and conditions. The personal data registered will be processed and stored solely for the purpose of informing about offers from the Hindsgavl Castle Rewards Club and administering the membership and the points earned. Any other purpose requires additional and explicit consent from the member.

4.2 Hindsgavl Castle is responsible for the protection of personal data. Members of the Hindsgavl Castle Rewards Club are entitled to obtain information about what data is registered about their person at Hindsgavl Castle by submitting a written and personally signed request to Hindsgavl Castle. Members also have the right to demand that Hindsgavl Castle corrects or removes any data relating to the member that is incorrect or incomplete. Furthermore, the member may at any time cancel his or her membership of the Hindsgavl Castle Rewards Club via email hindsgavl@hindsgavl.dk.

4.3 Customer data in the Hindsgavl Castle Rewards Club will be deleted automatically after 3 years without activity on the part of the customer, as we then assess the current customer as not active in relation to Hindsgavl Castle’s services. This is based on the typical frequency of using hotel services in Denmark. It is therefore not relevant to continue to store this data. We delete this data to avoid unnecessarily retaining customer data that is not current. However, after the 3 years have expired, we will ask the customer if they wish to remain active in our system.

5. Other provisions

5.1 These terms and conditions are governed by and shall be interpreted in accordance with Danish law. Disputes arising from or in relation to Hindsgavl Castle’s Rewards Club shall be settled by the Danish courts as the exclusive legal venue.

5.2 Points are automatically credited after the end of the stay. It can take up to three days before the points appear on the member’s account. If you have not received your points, please contact Hindsgavl Castle no later than three months after the end of the stay at hindsgavl@hindsgavl.dk with information about the order number and date of stay, as well as your details.

5.3 Points cannot be paid out and cannot be used to purchase gift vouchers.

5.4 Hindsgavl Castle reserves the right to adjust the member’s points in the event of technical errors, system errors or personal errors that give the member fewer or more points than entitled.
